East Lansing Art Festival – May 20 & 21, 2017
EVENT SUMMARY
Established in 1964, the East Lansing Art Festival is an evolving outdoor celebration of fine art and fine craft which has grown to include two music stages, children's hands-on art activities, an artist demonstration area, a poetry reading, and a Friday evening kick-off concert. The festival opens on Saturday morning and runs through Sunday afternoon. This highly anticipated mid-Michigan festival attracts over 70,000 knowledgeable art patrons from around the region, and is consistently ranked in Sunshine Artist Magazine's annual best 100 shows listing.

JURY FEE
The jury fee is $25.00 through November 30, 2016. Beginning December 1, 2016 the jury fee increases to $35.00 and is nonrefundable. Please pay by the deadline via Zapplication.org 

BOOTH SPACE AND FEES 
All booths, regardless of size, are assigned on a first paid first served basis
  • Fee for a 10’ x 10’ booth space is $335.00.
  • Fee for a 20’ x 10’ double booth space is $670.00 (limited number available)
  • Corner booth fee is an additional $50.00
  • The ELAF cannot guarantee specific booth space location regardless of artists’ past participation at this festival. Set up is by assigned time on the Friday before the festival. Artists must bring their own tent and displays.
  • The Festival Board of Directors reserves the right to change the location of allocated spaces and site plan without advanced notice.
Set-up: All participants must set-up for the festival on Friday, May 19, 2017.

ELEGIBILITY
The East Lansing Art Festival maintains high standards of quality in fine art/fine crafts.  All work must be the creation of the exhibiting artist: the original concept design, style and execution must be attributable solely to the displaying artist(s).  All work on display must be consistent with the images submitted. Artists must be 18 years of age or older.

HOW TO APPLY
All applicants must apply online through Zapplication® http://www.zapplication.org by midnight Eastern Standard Time, TUESDAY, January 31, 2017. Submit one application per category.
  • ZAPP has the capacity to allow artists to apply in more than one category without creating a separate ZAPP profile for each application.
  • Each entry must included 4 images and one (1) booth display. The booth image is used to view the scope of your work and on site for quality control purposes.
  • All images of invited artists to the 2017 East Lansing Art Festival may be considered for use in promotional materials and one image will be used on the artist page of www.elartfest.com.
  • When applying to the East Lansing Art Festival please keep in mind that the information and answers you provide will be used by the ELAF staff for purposes of contacting, record keeping and rule assessment.  Please make sure your information is current and up to date.
  • 506 artists applied in 2016
  • In 2016, there were 40 exempt artists invited, 18 participated.
  • There will be approximately 165 spots available in 2017 and will be dependent on the number of exempt artists return.
  • Artists are responsible for the collection, reporting and payment of all State of Michigan taxes.
COLLABORATING ARTISTS (Definition)
A Collaborating artist is involved in the design and creation of the artwork represented in the application, not someone that is coming with you to assist with the show.  Please do not list a person on your application as a collaborator unless they are. Collaborators are required to be present at the festival in its entirety.
 
INVITATIONAL ARTISTS: (Those exempt from jury, for 2017)
All Invitational Artists must apply via Zapplication®, http://www.zapplication.org by TUESDAY, January 31, 2017, midnight Eastern Standard Time. Submit one application per category.
Invitational Artists will receive a coupon code, via email, for 100% off jury fee. 
Invitational Artists must pay booth fee, by TUESDAY, Febuary 7, 2017 midnight EST.
 
BOOTH IMAGE REQUIREMENTS
Booth image must be representative of the booth quality you intend to provide at the fair.
  • The artwork images submitted with application should represent the current body of work to be exhibited and sold at the ELAF.
  • The Booth display image should represent your current tent and display to be used for exhibition at the festival, please do not include your name, the name of your business, and/or studio in your booth photo.
  •  Submission of images that represent items that appear to be manufactured, buy/sell or otherwise fall outside this festival’s rules of participation is cause for disqualification at any time during and after the jury process
  • The purpose of the both image is to ensure that you have a complete body of work which is represented in the images submitted with your application and to give the festival and idea of our overall presentation at the festival.
EMERGING ARTISTS
  • Emerging artists must not have exhibited at a fine art fair prior to applying to this event – and must sign an affidavit confirming this status.
  • Emerging artists can be affiliated with a college level art program, or may be self-taught. This program is meant to foster the next generation of exhibiting artists by creating an opportunity for NEW artists to participate in a Fine Art show.
  • Emerging Artists must participate in the jury process by submitting 5 images of their work (no booth image required).
  • Emerging Artists must also send an artist statement describing their work and their background in the arts to info@elartfest.com.
  • Jury fees are the same as regular exhibiting artists – booth fees are waived for those Emerging artists chosen to attend through the jury process – as a donation from the Festival Board of Directors.

WITHDRAWING
If you must withdraw from the festival, please email Michelle Carlson, Art Festival Director at info@elartfest.com.  Deadline for cancellation is Wednesday, April 5, 2017 for full refund, minus a $25 processing fee. No refunds, after April 5, 2017.

DEFINITION OF CATEGORIES
2-D Mixed Media - Original two-dimensional work that incorporates more than one type of two-dimensional media to create the whole piece.
3-D Mixed Media - Original three-dimensional, (not wall hanging) artwork that incorporates more than one type of three-dimensional media to create the whole piece.
Ceramics, functional - Original daily use, utilitarian, items such as vases, mugs, plates, etc. Ceramic works must be constructed of clay by the artist's own hands. If multiple pieces of the same design are displayed, each must be signed and limited to a numbered edition (not more than 250). Exhibitors must disclose and display their creative processes in their booth during the festival.
Ceramics, Non-Functional - Original non-functional decorative items created out of clay, by the artist's own hands, such as tiles, wall hangings, etc. If multiple pieces of the same design are displayed, each must be signed in limited edition (not more than 250). Exhibitors must disclose and display their creative processes in their booth during the festival.
Digital Art - Original work in which the extreme manipulation of the source material was executed, by the artist, using a computer program. Work must be in limited editions, signed and numbered (not more than 250), using archival materials. Exhibitors must disclose and display both their creative and printing processes in their booth during the festival. Digital photographs processed using traditional methods such as tone adjustment or cropping must apply in the photography category. 
Drawing/pastels - Original two-dimensional work including ink applied by pen or brush, chalk, graphite, charcoal, wax crayon or pastel. Reproduction prints are not allowed.
Fiber - Includes leather, baskets, dolls, paper, wearable and non-wearable. No machine-tooled, machine-screen printing or other forms of mass production are accepted. Factory-produced wearable items, regardless of additional modification or enhancement by the artists, are not accepted.
Glass- Original functional or non-functional work created in glass by the artist, by glass blowing, molding or casting. No forms of mass production are permitted.
Jewelry, Precious - Any original jewelry crafted from precious metals (gold, silver. gemstones, etc.). Gold-filled, washed or plated work must be identified. No manufactured findings are allowed in the precious jewelry category – no commercial casts, molds or production studios. All jewelry sold on-site must be juried in one of the Jewelry categories.
Jewelry, Non-Precious - Any original jewelry crafted from non-precious materials (wood, clay, glass, etc.). All jewelry must be created without commercial casts, molds or production studios. Jewelry made from strung, commercial beads is not considered handmade by the artist and will not be accepted. Artists applying in this category must provide additional information in their process statement as to the elements used to create the work (are elements such as beads and findings created by the artist or were they purchased from another source?). All jewelry sold on-site must be juried in one of the Jewelry categories.
Metals - Includes original non-sculptural, crafted work such as bowls, candlesticks, decorative items, etc. jewelry is not allowed in the metals category.
Painting - Original two-dimensional work created with pigment including acrylic, oil, egg tempera, gouache, watercolor, etc. Reproduction prints are not allowed.
Photography – Photographic prints made from the artists original negative or taken with a digital camera that have been processed by the artist. Prints made in limited editions, signed and numbered (not more than 250), on archival papers created by the artist from his/her original negatives or original images. Please indicate darkroom and/or digital processes in your process statement. Exhibitors must disclose and display both their creative and printing processes in their booth during the festival.
Prints - Original works created manually by the artist using plates, stones or screens. Work must be hand pulled original prints, signed, numbered and in limited editions (not more than 250). Exhibitors must disclose and display both their creative and printing processes in their booth during the festival.
Sculpture - Original three-dimensional or relief work created in any media and determined by the artist to be sculpture.
Wood -Original hand tooled, built, turned or carved work, including finely crafted bowls, boxes, furniture, etc.

DIGITAL JURYING
The jury, a panel of experts participate both digitally and on-site and have a broad knowledge of art, integrity, and a fair non-opinionated approach.
  • Artist’s images and artist statements are reviewed by jurors objectively.
  • Each application is given a score between 1 (low) – 5 (high) and the artists with the highest scores in each category are invited to exhibit.
ON-SITE JURYING
  • Jurors visit each booth on Saturday, during the first day of the festival.
  • Jurors score each booth and the highest scores receive awards of cash prizes.
  • Those winning awards are then exempt from Jury and invited to exhibit for the following three consecutive festivals.
WAIT LIST
  • Artist who receive high scores in their category but are below the initial cut-off will be placed on the wait list.  Artists on the wait list will be informed of the decision via email.
  • Artists on the waitlist will be contacted as soon as a space, in their respective medium is available.  Spaces become available upon cancellation and all attempts are made to replace medium for medium.  In the event that is not possible, vacancies are filled by the highest scores remaining in other categories.  This is done to keep a balance and variety of mediums in the festival.

Rules/Regulations
PARTICIPATION RULES
By submitting your application to the East Lansing Art Festival (ELAF) you agree to abide by all festival rules and legal agreement. Failure to comply with any of these rules will result in immediate removal from the show and disqualification from other East Lansing Art Festival events.

Photo ID will be required at check-in. Only the accepted, primary artist or collaborator (indicated on artist application).
 
All work exhibited and sold at the East Lansing Art Festival (ELAF) must be original and of the artist’s own creation.  Artist guarantees the accuracy of the description of the works presented and the authenticity of the work as the creation of their own hands. ELAF Board of Directors reserves the right to determine which applicants meet eligibility requirements.
 
Applications must include a 1000 characters or less Technical Description of your art work.  The description should include technique or other information to assist the jury in defining what they are seeing in the submitted images.

ELAF reserves the right to question any applicant about his/her creative practice prior to jurying, prior to or during the festival.  Including, but not limited to, requiring photos and/or video of the studio and artist working.  ELAF reserves the right to disqualify any applicant or exhibitor whose artwork is made in a production studio, as defined as; a process consisting of multiple individuals (other than artists) who design, fabricate and assemble the artwork contained with the application.
 
Only artists accepted in the jewelry category may exhibit jewelry; all jewelry, regardless of material must be juried in the jewelry category.

  • beauty products
  • candles
  • t-shirts
  • Mass-produced items with reproduced artwork such as postcards, books, note cards, posters, magnets etc.
All artwork must be properly identified with no misleading labels:
Applicants featuring ineligible items in their application images will be disqualified during the application jury process. The ELAF Board of directors may ask exhibiting artists to remove such from display during the festival and reserves the right to remove exhibitors from the festival if they have been accepted under false pretenses by misrepresented their work during the application jury process.

REPRODUCTIONS
Art Patrons at this event expecting that they are purchasing original work. Any method of making multiple copies of original art using photo, mechanical, digital or casting technology is considered to be a reproduction. Reproductions have the following characteristics: work is not the product of the artist’s own hand, reproduced copies are identical, and the copies are made by a commercial entity and not made by the artist's own hand.   

Methods of printmaking, in limited runs, such as intaglio, lithography, relief painting and other traditional  means, are not considered reproductions.

Photography and digital art that utilize photographs and/or computer technology are inherently reproducible. The use of cropping, enlargement and darkroom and digital processes can produce different effects even from the same negative/image is allowed.  Exhibiting fine art photographers are required to show only work that they have signed, numbered and produced in limited editions of no more than 250 and is not considered to be reproductions. 

Reproductions will not be eligible for awards. Artists must define “a limited edition” through their artist statement and must disclose and display both their creative and printing processes in their booth and to the buyer during the festival. The ELAF Board of Directors reserves the right to make determinations regarding reproductions that do not fit within these guidelines.

ARTIST PARTICIPATION
Artists, and Collaborating Artists (directly involved in the design and creation of the work that will be exhibited), whose name appears on the application must be present the entire weekend of the festival, and must present photo identification to the ELAF Board of Directors upon arrival at check-in. Representatives, commercial agents, dealers and/or salespeople are prohibited from operating the artist’s booth. Under no circumstances may you sublet your booth, in whole or in part, with or without charge. No booth sharing between independent artists will be permitted. You may not display or advertise the work of individuals other than those accepted and specified in your application.

CANCELLATION AND NO-SHOW POLICY
Failure to give advanced notice of inability to attend once booth fee is paid may result in disqualification from the ELAF in the future. There are no full refunds for cancellations after the deadline for a partial refund is April 5, 2017. Artists m
ay not leave the festival early.

COURTESY AND PROFESSIONAL CONDUCT  
It should go without saying that there is an expectation of civility, patience and common courtesy at this event. We rely on the dedication of hundreds of volunteers and returning arts patrons to make this event a pleasant venue where artists successfully sell their artwork each and every year. It is our wish that every exhibitor, art patron and volunteer have an enjoyable experience at the ELAF. When accepting the invitation to exhibit at the ELAF the Artist agrees to abide by all rules of the ELAF, state and City of East Lansing. Artist agrees to follow load-in, load-out and parking procedures as well as general festival rules of participation. Exhibitors are expected to cooperate with festival staff, board members and volunteers and be courteous to their neighboring exhibitors. Artists who disrespect or mistreat volunteers, staff, and board or fellow artists will not be invited back to exhibit at this festival in the future.

SITE JURY PROCESS 
The ELAF Board of Directors chooses a panel of experienced jurors to review exhibited work and choose recipients of artist award. These site jurors score each booth and identify award recipients based on quality, creativity, design, technical competence and presentation. Award artists become "invitational" for three consecutive years after the qualifying year and also receive cash prizes, (some in the form of purchase awards). Site jurors should be considered “mystery shoppers” and therefore may not identify themselves to artists during the site jury process. The festival does not publish the names of site jurors to respect their privacy. Exhibitor eligibility for awards is determined at the discretion of the jurors and overseen by the Festival Board of Directors. Having won a prior award does not exclude an exhibitor from winning again. Exhibiting artists have the option of opting out of the site jury/award selection process by sending an opt-out request prior to festival weekend to info@elartfest.com.

CASH AND PURCHASE AWARDS
  • Over 10 awards, totaling approximately $6,000, will be presented to artists based on the quality of their exhibited work as ranked by an impartial site jury.
  • An awards parade is conducted on Sunday, beginning at 11AM, highlighting the winners. A list of winners will be available at the festival site office Sunday afternoon during festival hours.
  • Festival representatives will collect purchase award artwork before the end of the festival on Sunday afternoon. Checks for cash prizes will be mailed out to award artists within two business weeks following the festival weekend.
  • Artists who have already received awards from the ELAF are still eligible to be considered for future awards after their 3 year invitational award status has ended.
  • If you win an award at The East Lansing Art Festival, we hope you will proudly display it on Sunday.
  • You may not display awards or ribbons from other shows, not even previous ELAF awards, to avoid confusion. You may keep an album or portfolio of awards and other materials in your booth.
ELAF is a rain or shine festival. Artists must bring their own tent weights to secure their tent against inclement weather. The ELAF cannot provide tent weights and is not responsible for damage to tent, displays, artwork or personal belongings.

SEVERE WEATHER 
While the ELAF is a rain or shine event, your safety and the safety of our patrons are of the utmost importance. The festival Board of Directors reserves the right to close the festival due to potentially severe weather. There are no booth fee refunds for show cancellation due to weather emergencies. Artist must make sure their tents are properly weighed down in case of windy conditions.

SECURITY
The ELAF hires a professional security guard service to watch over the festival grounds on Friday and Saturday evenings to serve as a deterant. The East Lansing Police Department will also be actively patrolling the festival grounds. Artists should be insured and are responsible to secure their tents against theft or damage. The ELAF and City of East Lansing are not responsible for lost, stolen or damaged artwork or personal items. Artists must close their tent completely overnight so that no artwork is visible or accessible from outside the tent.

TAX/TAX ID 
State of Michigan law requires all East Lansing Art Festival exhibitors to pay all applicable Michigan Sales Tax directly to the State of Michigan. As an exhibitor you agree to hold the City of East Lansing and the East Lansing Art Festival harmless from tax payment related to your participation in the East Lansing Art Festival.  State of Michigan Treasury representatives may be at the festival to verify sales tax licenses and provide concessionaire sales tax return and payment forms. PETS AT THE FESTIVAL 
Animals are not permitted in the Food Court area or in the Children's Activities Area of the festival. We ask pet owners to please be considerate of other festival artists and guests. The festival is crowded with many patrons, fragile art works, small children, swirling activity, live music and the aromas of many different kinds of delicious food - we strongly recommend that you leave your furry friends at home.

Please note: The craft show held on the same weekend on the campus of Michigan State University is a separate event not affiliated with the ELAF.
