Taking place on December 3 and 4, 2016, Michigan State University (MSU) will host its 53rd Holiday Arts & Crafts Show. With an average attendance of approximately 10,000 guests, it is one of the largest holiday shows in the region. This year’s show will boast more than 120 vendors from across the nation and offer something for everyone from pottery to seasonal items, clothing to photography, children’s items to aromatherapy and much more!!

The show will take over four (4) floors of the MSU Union, which is located on the corner of Grand River Avenue and Abbot Road in East Lansing on the MSU campus.

100% of the fees collected from the application process go to the MSU University Activities Board (UAB) for programming events for the MSU student body. Since 1916 UAB has provided quality social, recreations and educational programs planned and implemented by students, for students in the MSU Community. UAB provides free or low-cost entertainment for students and serves as an alternate late night/weekend entertainment choice. UAB is committed to the personal, professional and educational development of its members.

Load-In Information:
Friday, December 2, 5:30 PM: Those vendors who wish, and are able, may park in the Grand River Parking Garage and load-in from there, regardless of type of parking permit. (Ramp has a 7 ft. clearance.)
Friday, December 2, 6:30 PM: By request until times are filled, and on a first-come first-served basis
Friday, December 2, 8:00 PM: By request until times are filled, and on a first-come first-served basis
Saturday, December 3, 6:00 AM: All other vendors who do not request for a previous load-in time

If you are not present an hour prior to the show (8:00 AM on Saturday, December 3, 2016) and you have not informed UAB of a problem, your space may be reassigned.
              
Load-Out Information:
Sunday, December 4, 2015, 4:00 PM – 7:00 PM
There is NO EARLY BEAKDOWN. If sell-out occurs, please contact Show Staff at the Main Info Booth.
  1. Vendors may load-out to the Grand River Ave. Parking Ramp, regardless of type of parking permit. (Grand River Ave. Ramp has a 7 ft. clearance.)
  2. Vendors who wish to pull alongside Abbot or West Circle must completely break down their booth and acquire a Load-Out Ticket from an Information Booth in order to pull their vehicle alongside Abbot or West Circle.
 
 

Rules/Regulations
Commercial Products Policy:
Only hand-constructed wares are to be sold. No commercial products including but not limited to buy-sell or wholesale items are permitted.  The registered exhibitor must have constructed a majority of each item. The show staff will investigate questionable wares; if they are found to be commercial items, you will be asked to remove those items found in violation and/or removed from the show with NO REFUND. If show staff are unable to determine the authenticity of items during the show, a letter will be mailed to the crafter after the show asking for further information regarding the items and photos of the items being made. If you are unsure as to the status of your wares, it is your responsibility to contact the show coordinators prior to the show.
 
MSU Merchandise Policy:
The trademarks of Michigan State University are the exclusive property of the Michigan State University Board of Trustees, in accordance with the trademark and service mark registrations filed with the U.S. Patent and Trademark Office and/or the state of Michigan. The University reserves ownership of any trademark, service mark, logo, insignia, seal, design, or other symbol or device associated with or referring to Michigan State University. If you wish to sell merchandise bearing the trademarks of the university, you will need to secure a crafter license from the MSU University Licensing Programs office by contacting the office at 517.355.3434, or via email at licensing@union.msu.edu. You may also find more information online at http://www.licensing.msu.edu/apply-for-crafter-license/. Failure to obtain a license may result in the removal of any infringing items from your booth.
 
Payment Card Data Security Requirement for Third-Party Merchants Policy:
If a Vendor accepts payment cards (such as credit or debit cards bearing the logo of Visa, MasterCard, American Express, Discover, or JCB) as a form of payment either on the MSU campus or elsewhere in the course of providing goods or services related to this contract, Vendor will be responsible for the security of all cardholder data that it stores, processes, or transmits. This requirement applies whether the cardholder data is in electronic format or in written or printed hardcopy format. The Vendor will maintain compliance with the current version of the Payment Card Industry Data Security Standard, also known as PCI DSS, for the duration of this contract. If Vendor were to become non-compliant with PCI DSS, Vendor must notify Michigan State University of this change immediately. Failure of Vendor to comply with PCI DSS will constitute a breach of this agreement. Vendor agrees to provide confidential evidence of PCI DSS compliance to Michigan State University at least annually and upon request by Michigan State University. All such evidence must be approved by the MSU Controller’s Office prior to execution of this agreement. The use by Vendor of Michigan State University’s MSUNet computer network or wireless networks (including but not limited to Guest or authenticated versions of MSUNet Wireless, MSUNet Wireless 2.0 and their successors), for the purpose of processing payment card transactions is not permitted under the terms of this agreement. Unauthorized use of these networks by Vendor will constitute a breach of this agreement. Costs of PCI DSS compliance and providing evidence of such compliance to Michigan State University are the sole responsibility of Vendor. Cultural Sensitivity Policy:
Michigan State University, through its Diversity Policy, has expressed its commitment to the elimination of racism and discrimination on the basis of race, color, sex, religion, creed, national origin, political persuasion, sexual orientation, marital status, handicap or age. As an integral part of the University, the University Activities Board supports this policy of non-discrimination. UAB believes the policy is relevant to the Arts & Crafts Show by nature of diversity of items displayed and persons participating in the show.  Accordingly, we ask that all items displayed at the show be sensitive to all members of society. This would include the avoidance of words, images, and situations that suggest all or most members of a particular group are the same.
 
Food Policy:
Specific food items are allowed to be sold in the 2016 Michigan State University Holiday Arts & Crafts Show. Items are determined by utilizing the Michigan's Cottage Food Law, PA 113 of 2010.

Food items which will be allowed to be sold in the 2016 Michigan State University Arts & Crafts Show are limited to:
  • Dehydrated vegetables, fruits, or herbs
  • Prepackaged dried dip mixes, dried soup mixes, dried baking mixes and dried spice blends
  • Home roasted whole coffee beans and ground coffee beans
  • Jarred jams and jellies
  • Breads
All products must follow the Michigan’s Cottage Foods Law labeling requirements which must include:
  • Name and physical address of the Cottage Food operation. (You must use the physical address of your home kitchen; Post Office Box addresses are not adequate).
  • Name of the Cottage Food product (All capital letters or upper/lower case are both acceptable).
  • The ingredients of the Cottage Food product, in descending order of predominance by weight. If you use a prepared item in your recipe, you must list the sub ingredients as well. For example: soy sauce is not acceptable, soy sauce (wheat, soybeans, salt) would be acceptable, please see the label below for further examples.
  • The net weight or net volume of the Cottage Food product (must also include the metric equivalent - conversion charts are available online).
  • Allergen labeling as specified in federal labeling requirements.
  • The following statement: "Made in a home kitchen that has not been inspected by the Michigan Department of Agriculture & Rural Development" in at least the equivalent of 11-point font (about 1/8" tall) and in a color that provides a clear contrast to the background (All capital letters or upper/lower case are both acceptable).
Hand-printed labels are acceptable if they are clearly legible, written with durable, permanent ink, and printed large enough to equal the font size requirements listed above.
When applying, please ensure that you submit at least one (1) photo of your label as it will appear on your products.
Finally, please note that product samples are allowed only upon request, with appropriate documentation and approval by the University Health Inspector.

Pet Policy:
No pets will be allowed in Vendor booths due to risk of harm to patrons or patrons’ pets.
 
Marketing Policy:
Advertising for the show will occur in Community News & the Lansing State Journal. In addition, TV and radio stations will be notified via press releases and hundreds of posters will be displayed throughout the Greater Lansing area.  The show is also advertised on the MSU calendar, the UAB website, and a variety of festival websites, as well as sent to our event email list-serve with over 20,000 student subscribers.

Refund Policy:
  • The $20.00 jury/application fee is non-refundable.
  • If you are vendor who accepts their show invitation and pays but cancels prior to October 30, 2016we will issue a refund of the booth fee. After October 30, 2016 there will be no refunds available.
Miscellaneous Policy:
  • No overnight camping is allowed on MSU grounds. It is against university policy to camp or stay overnight in any vehicle on campus property.  Department of Police and Public Safety (DPPS) will be patrolling Lots 5, 7, 8 and 62 on Friday and Saturday nights.  Anyone in violation of this policy may be ticketed and towed at the owner’s expense.
  • No raffling or gambling is permitted on campus grounds.
  • Abuse of show staff, whether verbal or perceived as harmful by a show volunteer, is unacceptable. When addressing show volunteers/workers, do not use profane or derogatory remarks, or physical intimidation
  • Due to a policy mandated by the Michigan State University Fire Marshall, no flames of any sort can be used.


Booth Information
  • Booths are assigned according to past participation, ADA requests and at the discretion of the staff.
  • Booth locations change from show to show. Please look carefully at the current 2016 show map.
    • *Please Note: Map is NOT drawn to scale.
  • All single display spaces are guaranteed to be 8’ X 5’. All double display spaces are two (2) 8’ X 5’ spaces side-by-side. All booths are only guaranteed a front opening space.
  • Your actual booth space may vary from the map due to circumstances beyond our control (i.e. construction, etc.). Changes may occur right up to show set-up. We do not guarantee your booth will be in the exact location or layout as indicated on the map.
  • You may request a 6’ rectangle table or an 8’ rectangle table for your booth.
    • *Please Note: Requests will be granted on a first-come first-served basis while supplies last.
  • You may request an electrical outlet on your application. Outlets are NOT guaranteed. Please review the show map for the location of available outlets and prioritize your booth preferences accordingly.
    • *Please Note: There is only one (1) electrical outlet available per select booths.
  • If you are a returning 2015 Vendor and would like to remain in the same location you had the previous year, please indicate that on the application (if the space is available in the 2016 show).
    • *Please Note: These application must be received by Friday, September 2, 2016.
    • *Booth numbers may have changed, so please select requested booth numbers carefully.
    • *Add as much detail and information as possible in the comment section.
  • If you would like to be next to another vendor, please indicate their name and business name on the application. Both artists MUST complete an application. There is no guarantee of joint placement.
  • Displays, decorations, roping, storage etc. cannot exceed the allotted 8’x5’ dimensions or interfere with other exhibitors’ displays, or block sidewalks.  This includes overhangs!
  • The Show reserves the right to relocate booths and vendors at its own discretion.
  • Vendors are NOT allowed to resell a booth at any time. Any indication of a resold booth will result in permanent termination from future MSU Arts & Crafts Shows.
