JURY DETAILS


Event Summary
Lexington Art League and Lexington-Fayette Urban County Government's Division of Parks & Recreation present the 42nd annual Woodland Art Fair located in scenic Woodland Park in Lexington, KY. The Fair is central Kentucky's largest FREE cultural event with an average attendance of 60,000 people, and has been recently voted among the Top 200 Fine Art & Design Fairs by Sunshine Artist Magazine.

General Information
This annual event is produced in partnership by the Lexington Art League (www.LexingtonArtLeague.org) and Lexington Fayette Urban County Government (www.LexingtonKY.gov). Checks are to be made payable to Lexington Art League.

LAL believes in supporting the work of artists throughout the Central Kentucky region. This commitment is shown through the selection of at least 50 Kentucky artists to participate in the Woodland Art Fair each year.

AWARDS
Top Awards include Award of Excellence, Cutting Edge and Best of Kentucky. There are also Merit Awards given to the top artist in each represented medium category. Winners will automatically be accepted into the 2017 Art Fair.

RULES
1. All work must be original art produced by the artist.

2. Artists may only exhibit work in the category in which they are accepted.

3. Only original artwork may be displayed and/or offered for sale.

4. Artists must be present to exhibit.

5. Only artists accepted in the Jewelry category may display and sell jewelry.

6. Artists are responsible for collecting and reporting all taxes.

7. Checks are to be made payable to Lexington Art League. All purchases (application, booth and others) MUST be confirmed through ZAPPlication™.

8. No Consumable products will be accepted, such as lotion, soaps, or food products or plants.

In addition to the rules of exhibiting, the following guidelines/restrictions apply to the jury process:

1. Artists may jury in more than one category only with a distinctly different body of work.

2. Artists wishing to exhibit work produced in more than one media category must create a new profile for each category on ZAPPlication™ and submit an application fee for each category. Only 1 application may be submitted per body of work represented. Multiple applications must represent work in different media categories.

3. Jewelry may only be submitted for jury in the Jewelry category.

4. Photography may only be submitted for jury in the Photography category.

5. Upon receipt of application, the Fair reserves the right to return any application if it is deemed non-compliant for a particular category.

6. If you have any concerns about the fair or artists participating you are welcome to submit your concerns. LAL will address the concerns accordingly. Please know that false accusations will result in no acceptance to the Woodland Art Fair. 

CATEGORIES

2-D Mixed Media – Any combination of materials used to create an original work of art with a one-sided orientation. Collages are an example of this type of artwork.

Ceramics –Decorative and functional objects created through earthenware, porcelain, or tile, made by shaping and then firing a nonmetallic mineral, such as clay, at a high temperature.

Drawing/Pastels – Works on paper using pencil, crayon, ink, charcoal, pastels and a variety of other marking media.

Fiber / Leather –Decorative and functional objects created from fibers such as natural materials, thread, felt, paper and leather.

Glass –Decorative and utilitarian objects created from blowing and fashioning glass.

Printmaking – A transfer process, usually in multiples; it involves creating an original drawing or other composition on a surface other than paper for transfer to paper through the use of a press, impressions made by hand, or a computer.

Jewelry –Body ornaments, such as bracelets, necklaces, earrings or rings, made of precious metals or other materials that can be set with gems, semi-precious gems or other materials.

Metalwork –Decorative and functional objects created through the forging, twisting and fabricating of various metals.

Painting – Original art using paint to yield a two-dimensional image.

Photography - The process of capturing images by the action of camera and light, then printing the images, by chemical or digital means, onto a surface. The photography category includes traditional film photography, hand colored images, emulsion transfers and digital photography. Photographers are required to disclose their creative and printing process including editions and materials.

Sculpture/3D Mixed Media – Any combination of materials to form an original work of art that is generally visible from 360 degrees.

Wood –Decorative and functional objects such as furniture or table wares, that may be hand-tooled or machine worked from wood.

JURY PROCESS

All applicants, including 2016 Award Winners, must upload a total of 5 digital images. Four (4) should represent individual artworks; the 5th image should be of your booth set-up with work displayed. Artwork will be evaluated on the criteria of Technique/Craftsmanship, Design/Aesthetics and Presentation/Impact. Digital images are the sole criteria considered during the jury process; no other information, including (but not limited to) names and past acceptance will be provided to the jurors. Your images will be viewed simultaneously.

LAL reserves the right to determine accepted artists by standards other than juror’s scores to achieve a balanced representation of all forms of media.

FEES & ACCEPTANCE
Checks are to be made payable to Lexington Art League. When purchasing via Check, please proceed through Checkout on ZAPPlication™, selecting "payment with a check" as your payment option.

All fees must be paid through ZAPPlication™. NO EXCEPTIONS.

There is a $25 fee for any check returned for insufficient funds to LAL. Artists will be responsible for paying this $25 fee to LAL.

Be sure to type your name into your ZAPPlication™ as you would like it to appear in the press, in the event that you are accepted into the Fair.

Only Artists on the Wait List may participate in the Fair by arriving ready to exhibit in place of absent, officially accepted artists on the morning of Load-In without having been formally accepted via the jury process.

Cancellation Fee: $45 No refunds will be honored if cancellation is made within 30 days of Woodland Art Fair.

Booth refunds, less a $45 processing fee, will be given until July 1. After this date, no refunds will be given.

All artists, except those who won an award in 2016, must pay the non-refundable application fee for each category to be juried. Booth fees are paid once accepted, NOT with the application.

There is a $25 fee for any check returned for insufficient funds to LAL. Artists will be responsible for paying this $25 fee to LAL.

EARLY BIRD SPECIAL

Upon acceptance, if an exhibiting artist pays his/her exhibiting fees by May 23rd, a $35 discount will apply to the total sum of all purchased booth space and features. To receive the Early Bird discount coupon code email mmozingo@lexingtonartleague.org.

May 23rd is the postmark deadline for the Early Bird Special $35 discount offer.  No Early Bird discounts will be honored after the May 23rd deadline, no exceptions.

All checks must be deemed to be in good standing with LAL (no returned checks), or the $35 discount will be revoked and the artist will be billed for the remaining $35 of the full price.

For exhibiting fees paid after May 23rd, artists will pay FULL PRICE (prices listed above).

The FINAL POSTMARK DEADLINE for all exhibiting fees is June 20th.

Discount Policy for Waitlisted Artists

For artists on the Wait List, the discount deadline ($35 off total sum of exhibiting fees) will be 7 days after official, LAL notification of acceptance via email. This is the postmark deadline.

Acceptance & Notification Information

Only 200 artists will be accepted into the Fair. Notification letters WILL NOT be mailed as applicants will be able to view their acceptance status on ZAPPlication™ in early May. NO ACCEPTANCE INFORMATION WILL BE GIVEN OVER THE PHONE. Invitations to exhibit must be accepted and all fees must be paid by June 20th. Checks are to be made payable to Lexington Art League.

BOOTH SPACE

Single booths are 10' x 10'. Artists may not go outside of these boundaries. LAL strives to give all artists adequate storage behind their booths where available.

LAL will honor requests on a first-come, first-served basis.

Please request specific booth locations and features on your ZAPPlication™ form for the show.

LAL cannot guarantee that this year's Fairgrounds will be identical to last year's Fairgrounds due to the planting and removal of trees by the Division of Parks & Recreation.

LOAD-IN & LOAD-OUT

Since the Fair is held outdoors, Load-In and Load-Out are structured around weather conditions. Normally, cars are allowed to drive into the park; however, if the ground is wet, artists will have to park on surrounding streets and dolley their work into the park. LAL encourages all artists to bring carts and dollies for loading in and out of the Fair in case of inclement weather.

LAL has a Load-Out Ticketing System which will mandate that artists receive a ticket from volunteers after completely breaking down their booth and packing up their merchandise. Artists will not be permited to drive their vehicles onto the park until 6:00pm. After retrieving the Load-Out ticket artists will then retrieve their vehicles, giving this ticket to volunteers patrolling Fair entrances in order to gain re-entry onto Fairgrounds. This is to ensure the safety of all artists, Fairgoers and Staff, and is contingent upon weather conditions as aforementioned.

PROMOTION & ARTIST SERVICES

Excellent media coverage will be provided by radio, television and print partners. The Fair is a highly anticipated event and well-covered by regional media. Postcards will be provided to accepted artists for their own promotion, as requested.

Please email LAL requests for up to a maximum of 50 promotional fair postcards once notified of acceptance via ZAPPlication™ at the email address listed at the link above labeled "CONTACT SHOW".

Artists are provided with several amenities during the Fair, including:
  • Booth-sitters
  • Overnight security at the park
  • Discount at host hotel in downtown Lexington
  • Early load-in on Friday at NOON
  • Volunteers to assist with load-in & load-out; Load-Out Ticketing System
  • KENTUCKY SALES TAX Each exhibitor is responsible for collecting and reporting Kentucky state sales tax (6%) on all sales.
  • LEGAL Arrangements for commissions are solely between the artists and buyer. LAL will have no involvement in any aspect of such transactions placed at the Woodland Art Fair. LAL will not be held liable in any way for problems that might arise from such agreements. And will not participate in any efforts to settle such disputes.
