Event Summary
The 66th Annual Kalamazoo Institute of Arts Fair is a two-day, juried show featuring up to 185 fine artists. Staged in a shady, historic park in downtown Kalamazoo, the fair is acclaimed for its friendly, atmosphere and large crowds of serious arts patrons from across West Michigan and Northern Indiana. It offers many artist amenities, awards at least 13 best-in-category prizes and a People's Choice Award, is supported by far-reaching promotion measures, and attracts a crowd of upwards of 40,000 patrons.

General Information
Presented by the Kalamazoo Institute of Arts, the 66th Annual KIA Fair is a festive event, acclaimed for hosting high-quality juried art works by about 185 artists. It spans two days (a Friday and a Saturday) that overlap with several community activities, is promoted across Lower Michigan and Northern Indiana, attracts upwards of 40,000 patrons, awards at least 14 $200 best-in-category prizes, and features many artist amenities. The fair traditionally kicks off summer in Kalamazoo. And it’s a beloved community celebration that draws patrons from Kalamazoo and a surrounding region that stretches between Lake Michigan, Northern Indiana, Detroit, and Lansing.

Proceeds from the fair support free-admission programming at the Kalamazoo Institute of Arts.

LOCATION
The Art Fair is staged in downtown Kalamazoo’s historic Bronson Park. The park is located adjacent to the Kalamazoo Institute of Arts and bordered by old churches and civic buildings. Is it used regularly as a place for meetings, rallies, concerts, and community events. A lovely, tree-shaded, grass-filled space, the park is crisscrossed by six concrete pathways that lead to a central concrete plaza and two fountains.

AUDIENCE
The Kalamazoo Institute of Arts Fair is a Friday-Saturday event that attracts about 40,000 patrons. Fair-goers are a mix of local and regional residents who appreciate art. Promotion measures are focused on attracting residents from outside the region.

SIMULTANEOUS ACTIVITIES
The fair is a very popular local event. The KIA stages a popular beer garden on Friday night with food and music. The fair also provides performances by student and local musicians, children’s art activities, and food vendors. Several downtown activities occur during the fair (and attract more patrons). They include:
• a non-juried art fair with about 70 artists located two blocks from our fair (Friday-Saturday)
• a popular first Friday event called Art Hop in which 60+ downtown businesses venues host artists and
  their artwork (Friday, 5-8 pm)
• a silly Doo-Dah Parade (Saturday, 11 am)

FAIR AWARDS
Art fair cash awards will include: 13 category prizes and a People's Choice Award each worth $200.
Prize ribbons are also provided to display on booths.

PRIZE JUDGING
Prize judging will occur on June 2, 3-7 p.m. Prize judges will be a number of artists. They will be recruited to review artwork in mediums in which they have an expertise. They will select one winner.
Cash prize awards will be announced at the artists' dinner on June 2.

ARTIST INFORMATION
• About 185 exhibition spaces
• Booth dimensions are approximate 12’ x12'. Most have additional space in back or on the side
• Artists will be able to pull their vehicles alongside Bronson Park in order to park and load and unload materials
• Artists will select or be assigned a time slot for arriving and unloading their vehicles (Extended time slots are available for those who need it)
• Free parking will be available within 2-4 blocks of the park
• Morning shuttle service will be provided between the park and the parking lot located 4 blocks away
• Artists hospitality amenities include:
  o Artist dinner at the KIA – Friday, June 2, starting at 8 pm
  o Coffee and pastries in the park – Friday, June 2, 8 am-noon
  o Coffee and pastries in the park – Saturday, June 3, 7-8:30 am
  o Artist lounge at the KIA
  o Booth sitters upon request
  o Discounted hotel rooms (information forthcoming)
  o Free lodging at a limited number of local homes (indicated your interest when applying; information forthcoming)
• Kalamazoo Public Safety officers during the fair
• Three security guards will patrol the park, June 2, 8 pm- June 3, 7 am 
• Electricity is not available and generators are not allowed
• Artists who do not exhibit on Friday (June 2) will not be allowed to exhibit on Saturday (June 3)

Artists must apply at www.zappapplication.org.

All exempt artists must apply via Zapplication.org by January 31, 2017
Exempt artists must pay the $30 application fee.

IMAGES
Four digital images are to be submitted with each artist application. Three of the images must show the artist’s work. One image must display the artist booth, as it will appear at Art Fair.

ZAPP JURY PROCESS
Artist jurying takes place in early February. Jurors will be four-five art professionals, who work as artists, educators and fine art and contemporary gallery owners. Jurors will be paid for their services.

Jurors will meet as a panel to review digital images submitted by artists and give scores to the artists. Images are grouped according to media.

Jurying is anonymous. Images are assigned a code number to ensure that jurors do not know the artist’s name or any identifying details other that what is supplied by the artist. Ratings are based on creativity, uniqueness, concept and craftsmanship of the work in addition to the overall presentation shown in the booth’s image. The jurors’ scores are then compiled into an overall score to provide a ranking of the artists work in each category. Jurors are asked to justify their choices. After all images have been reviewed, a final viewing of the top choices in each medium will determine which artists are selected to fill openings in the fair.

Artist scores are reviewed by the art fair committee, which extends invitations. The committee may limit the number of artists accepted in some media in order to present a balanced show.

NOTIFICATION PROCESS
On February 17, 2017, the KIA Fair will send e-mails to all artists informing them of their status. Contracts will also be emailed. A number of 2016 KIA Fair artists will be re-invited to the 2017 fair. They will be given priority choice for booth assignments. Other booths will be assigned to artists on a first-come, first-served basis when fees and contracts are received.

ON-SITE JURY PROCESS
Jurors will meet again during the Fair when all of the participating artists are juried on site. The jury scores are used to determine awa who will be invited back for the next year. Low scorers are juried out but may reapply the following year.

REFUND POLICY
Accepted artists wishing to cancel and receive a refund must notify Carianne Zomonski at the KIA.  A full refund (minus a $25 administrative fee) will be issued for cancellations received by April 22, 2017. A 50% refund will be issued for cancellations received by May 6, 2017. No refunds will be issued after May 6, 2017.

There will be a $35 charge for checks returned due to insufficient funds.
 
ARTIST LISTINGS
Artists and their booth numbers will be listed in an Arts Fair program that is handed out. Artists will also be listed on the Arts Fair website’s artist guide (with links to artist websites). Select artists will be profiled on the fair’s Facebook page.

LIMITATION OF LIABILITY
The artist agrees to make no claim for any reason whatsoever, including negligence against the KIA, its members, volunteers, employees of the City of Kalamazoo for loss, theft, damage, destruction of property or towing of vehicles, nor for any injury to artists or artist employees of invitees while present at the Art Fair.


COMPLIANCE WITH LAWS
Artists must comply with all laws, rules, regulations and ordinances in force.


VIOLATION OF ART FAIR RULES
Artists booths will be visited periodically by Arts Fair committee members to ensure rule compliance. If an artist is in violation of any rules, he/she may be asked to leave the fair. Persistent violation of the rules may jeopardize the right to participate in future KIA Fairs.


SALES INFORMATION

Rules/Regulations
RULES
Eligibility: The KIA reserves the right to determine the eligibility of any artist for inclusion in the Art Fair in accordance with either the KIA  Fair jury process and/or invitational procedures. All work must be designed and executed by the accepted artist (max. of two collaborators).

Artist Representatives: Artists are expected to be present in their booths. No spouse or representative will be permitted in place of the artist unless written permission is obtained from the KIA Fair management at least 15 days prior to the event.

Standard of Artist Work: Work that is shown must be original in conception and that of the artist(s) accepted. Objects made from commercial molds, kits or plans are not acceptable. Digital reproductions of an original work of art may occupy not more that 25% of the booth space and must be clearly marked as reproductions.

Work Quality: Artists may show only work in categories approved by the jury, Work that is shown must be the same quality, type and medium as that accepted by the jury. In addition, it must meet the standard requirements of the Eligibility section above. The KIA  Fair reserves the right to have work removed that is not consistent with the images submitted and quality standards of the fair.

Booth Location: Participating artists shall accept booth locations in Bronson Park as assigned by the KIA Fair management.
