Event Summary
Panoply is the Southeast's premier arts weekend where Huntsville's innovative spark shines through a festival of art, music and more! In 2016, the readers of Alabama Magazine voted Panoply the Best Art Festival in the state!
The three day festival has been held annually since 1982 in beautiful Big Spring Park in historic Downtown Huntsville. Each year the festival averages more than 62,000 visitors.

The festival weekend features an art marketplace consisting of 100 of the finest artists from across the United States, three performance stages, hands-on art and STEAM interactives, demonstrating artists, award-winning food trucks and traditional festival food.

Our artists will enjoy fine Southern hospitality throughout the weekend in our Artist Hospitality area as well as $2,500 in Art Marketplace Awards including The Pat Flynn Kyser Best of Show, an Award of Distinction, and five Merit Awards.

General Information
Artists will be notified of status on January 25, 2019.

The hours of the Panoply Art Marketplace are as follows:
Friday, April 26                                                   5:00 p.m. to 9:00 p.m.
(Fireworks at 9:00 p.m.)   
Saturday, April 27                                              10:00 a.m. to 7:30 p.m. (Festival closes at 9pm)
(Fireworks at 9:00 p.m.)

Sunday, April 28                                                11:00 a.m. to 6:00 p.m.

All artists are required to be open during the hours listed above.

$2,500 in prizes are awarded to exhibitors in the Panoply Art Marketplace. The judge will visit each booth by 5:00 p.m. Saturday, April 27th. Awards are presented for individual works and solely at the discretion of the judge.

Artist Move-In
Artist move-in will be BY APPOINTMENT ONLY during the following hours:
Thursday, April 25th         7:00 a.m. to 7:00 p.m.
Friday, April 26th             7:00 a.m. to 1:30 p.m.
All artists must be moved in by 2:00 p.m. Friday and be set up and ready for a final walk through by 3:00 p.m. Friday.   We will send sign up information to all confirmed artists to pick a day/time to set up.

The Art Marketplace committee and volunteers will be available to assist at your designated check-in time. If you arrive at any time other than your scheduled time, you may be asked to come back at your designated time slot. You will be advised of specific parking arrangements at check-in. No one is permitted on the festival grounds after 8 p.m. Thursday evening. Over the weekend, artists may arrive one hour before opening. All artists should use official festival gateways to enter and leave the festival.

Security will be provided in the Art Marketplace area on Thursday after 8pm, Friday and Saturday nights after closing at 9PM. 

Artist Move-Out
Once the festival concludes on Sunday and all patrons have left the park, we will begin to allow vehicles into the park for move-out. You will not be allowed to bring in your vehicle until you are prepared to load. Art Marketplace committee members will be on-site managing this process and you will receive more information and a map when you check-in. Please know that we will do our best to get everyone out of the park and on the road as quickly and efficiently as possible.

Space Assignments
Spaces are 10’ x 10’ and are intended to be used by one artist. Artists who work as a team to produce one product must have indicated this on their application. We are unable to guarantee corner booth requests. Corner booths are available but are limited in number and will be awarded by a lottery to artists requesting them. Please note the additional fee as listed below.  There may or may not be double booth space available, we will send an email if that becomes an option.

Standard booth locations are on both pavement and grass. Please understand that all artists’ site requests are considered; however, we cannot guarantee that all requests will be met. Our Art Marketplace team works hard each year to layout the marketplace so that the area flows well and accommodates both artists and patrons. We will do our best to accommodate artists who travel in teams or have certain medical or physical needs. 

The site committee works hard to ensure that proper power be supplied to all vendors in the park. In order for this to work it is VERY important that you do not exceed the power provided to your tent. Please outline your power needs where requested. One 120v circuit is available per space. Should your needs exceed the 120v circuit, you will be required to pay an additional power fee of $25 onsite.

Artists need to prepare to exhibit in inclement weather. In the event of severe or threatening weather the festival will close. Artists will be notified of the official closing time by one of the Art Marketplace Chairs and by our text notification system (for all artists that sign up to receive text alerts).

There is a modest admission fee to the Panoply Arts Festival. As an exhibiting artist, you and one guest will be allowed free admission to the park all weekend. You will be issued two badges which you will receive at check-in. These badges will permit you to come and go as you please in the park. 

Site Requirements
All work and display must be confined within the 10’ x 10’ area. Exhibitors must provide their own means of display sturdy enough to withstand outdoor conditions. This includes appropriate weights or anchors for all tents; no stakes, please. Set-up equipment and extensive set up assistance is not provided.  All work must be displayed in a way that is safe for our patrons and designed to withstand weather and crowds. Artists are responsible for their own display in the event of loss or damage.

Smoking and tobacco, including e-cigarettes and smokeless tobacco, of any kind is prohibited within the Panoply gates; if you would like to smoke, the Art Marketplace team can direct you to a more suitable location.

There will be an Artist Hospitality tent conveniently located in the Art Marketplace for you to enjoy during the weekend. This area will offer light refreshments and a quiet place to sit down for a rest. You will need to present your badge to access this area. There will also be volunteers available to booth-sit should you need to take a break. Volunteers will be on hand to assist patrons and answer questions as they visit the marketplace.

Arts Huntsville does not take a commission on artist sales. Artists will transact their own sales and will comply with all sales tax regulations. Necessary tax information and paperwork will be provided to artists in pre-show packets at check-in. Artists are not permitted to create or sell items branded with Panoply.

Artists may provide signage for their booths. Arts Huntsville requires that the official Panoply artist sign also be hung in full view on each artist tent. Your sign will be provided in your pre-show packet at check-in.

Refund Policy
Registration Fees are refundable as follows:
75% Refund: cancellation received in writing by Friday, February 22, 2019
50% Refund: cancellation received in writing by Friday, March 8, 2019
25% Refund: cancellation received in writing by Friday, March 29, 2019
No Refund: cancellation received in writing after Monday, April 1, 2019

Any unforeseen emergencies after April 1st will be viewed on a case by case basis upon written notice of cancellation. 

1. Artists MUST be present for the length of the festival. Exhibitor’s employees, family and friends may not substitute for the exhibitor.
2. All work must be the artist’s original work. Commercially manufactured items or pieces made from commerical kits or mold may not be exhibited. Artists who bring unacceptable items will be asked to remove them from the display.
3. Accepted artists may not exhibit at other Festivals during the dates of Panoply.

4. Artists may exhibit artwork only in the category for which they were accepted.
5. Posters, tshirts or personal merchandise may not be sold at the festival.
6. Work may not be created/sold specifically for the festival ie. that references Panoply, festival dates, Arts Huntsville, etc.

7. All Artists are responsible for collecting and paying Huntsville City, Madison County and State of Alabama sales tax.
8. Tents must be weighted with 30 to 40 pounds of weight per tent leg. No stakes are permitted.
9. Official Panoply Booth signs must be placed in full view near the front of the tent.
10. Outside food and drink are not permitted during festival hours.
11. Artists must remove all items and display parts at the end of the festival. Artists who leave items in the park may be suspended from the festival for one year.
12. No applications will be accepted after the deadline.
By submitting this application, you consent to and authorize the use of any and/or all images of works in promotional literature and other promotional endeavors by Panoply and Arts Huntsville including but not limited to brochure, print and television advertisements and web promotions. Artist statments may also be used for promotional purposes.

Booth Information
Accepted Catgegories

Clay: Original clay and porcelain work, functional or sculptural.

Fiber: Includes wearable and non-wearable. No Machine-tooled, machine-screen printed or other forms of mass production are accepted.

Glass: Functional and sculptural work is accepted. 

Jewelry:  All jewelry, whether produced from metal, glass, clay, fiber, or other materials must apply in this category.

Metal: Sculptural or decorative work made from metal.  Jewelry will NOT be accepted in this category.

Mixed Media: Any work that combines materials from two or more mediums in one piece.

Other: Only work that does not fall into other categories listed.

Photography: Includes traditional film photography, hand colored images, emulsion transfers and digital photography.  Only artist’s original  material is acceptable. 

Sculpture:  Three-dimensional work using additive or subtractive processes in a single medium.

Two Dimensional: Drawing, painting and digital works. Reproduction prints are not allowed other than signed and numbered limited editions. These must be displayed in a bin or basket of some type.

Wood: Original works that are hand tooled, machine-worked, turned or carved.
