Event Summary
Art Works Foundation announces its second Art in The Loop, an Art Festival in Memphis, TN (formerly Art Squared), Friday, April 5th – Sunday, April 7th, 2019.

Art in The Loop will be staged for the second year in east Memphis, near Poplar & I-240, on Ridgeway Loop Road. This unique site is situated in between 1.5 million square feet of high level offices and one of Memphis' most exclusive residential areas (the founders of FedEx & AutoZone live right around the corner), In addition to offices, the area boasts several hotels (including the Memphis Hilton) and a 4 screen Cinema dedicated to films attractive to the over 45 audiences; there is even a trendy Mega-Church in view of our festival site, from which we hope to pick up additional traffic on Sunday.  Our Sponsors include: WKNO TV & FM, the local PBS & NPR Affiliates & Memphis Magazine.

Art in The Loop will feature – and focus on the sale of – stellar works of art in metal, glass, clay, wood, fiber, jewelry, sculpture, paintings & photography, and more.  We will limit the number of artists by category, and are more concerned about the quality of work presented than the number of spaces we sell: from 40 to 60 artists will be admitted this first year.

All Artists selected will have corner spaces.

We expect Art in The Loop to benefit greatly from its location in the most affluent part of Memphis, and its close proximity to the up-scale suburb of Germantown TN.   

General Information
Art in The Loop invites artists working in glass, metal, fiber, clay, wood, as well as found objects, and 2-D to apply for acceptance.

Art in The Loop is replacing a similar exhibition staged by ArtWorks Foundation called Art Squared; that festival was named one of the "Top 200 Art Festivals in the US" by Sunshine Artists' Magazine.  Art Squared was held for two years at a midtown Memphis entertainment district called Overton Square; while that show was successful, the logistics and parking were awful; the area in which we are staging this rebranded show offers easier move-in, and much better parking (for both artists and festival-goers), as well as greater proximity to high-income  households.  We will also be able to incorporate food trucks, and other amenities, which were not permitted at our former location.

Fine Craft and Fine Art will be the focus of this event. Catergories include the various disciplines for working in glass, metal, wood, clay & fiber, as well as Jewelry (no stringers !!); plus, 2-D art including print-making, painting & photography. 

I. Overview
This three-day show sets up at 9:00am on Friday April 5th, and will open to the public at 1:00pm and run until 7:00pm in the evening. Saturday’s hours will run 10:00am to 6:00pm, and Sunday’s hours will be 11:00am to 4pm.

Artists selected for the show will install their displays on Friday, April 5th, from 9:00am to Noon; Displays may not be removed before 4:05pm on Sunday April 8th.  The festival takes place on pavement: so no mud!

Admission is FREE; the show will be heavily advertised via radio and television (NPR & PBS),as well as through Memphis Magazine; plus, outdoor signage, and direct mail (10,000+ art-buyers on our mailing list). We will also promote the event heavily in the press to assure attendance.

II. About This Show
Art in The Loop, is staged by ArtWorks Foundation, a non-profit dedicated to “helping artists grow in their business and their work,” as well as to encouraging public interest collecting the work of our fine -craft artists. We are obsessed with the quality of what we present and how we present it.

Up to 60 positions will be available for artists to participate in our second annual Art in The Loop festival.
The show will be a juried selection with five judges. Standards of high quality and skill will be strictly maintained.

Our goal is promote appreciation for fine-craft and the skills and dedication required to make it. Some consideration will be given to geography, with artists from the Southeast receiving an extra quality point in the jury process, but the show is open to all Artists working in glass, metal, fiber, clay, wood, as well as found objects and 2-D

All items offered for sale must be created by the hand of the artist to whom the display space is registered: NO work created by parties other than the artist whose work has been accepted for the show may be displayed.

Artists will staff their own display throughout the show; handling all sales of their work, and assuming all responsibility for the collection and reporting of any sales taxes due. (Credentials for up to two assistants will also be provided.) Booth Sitters will be available as demand permits.

Prizes are planned: ribbons will be presented, as well as future booth fees; but, further cash awards may not be feasible unless sponsors for this element are forthcoming (currently being sought).

III. Fees & Application Process
The exhibition fee is $300 (Double booth = booth fee x2).  All Artists will receive Corner Spaces at no additional charge. No extensions may exceed the parameters of the allocated space by more than 2’, and must be removed if found objectionable by the promoter.  All tents must be suitably weighted (at least 50 pounds per corner, suspended from the top of the tent: not sitting on the base).

Artists who wish to be considered should submit five (5) photos of representative work (including one booth shot), and complete the Zapplication entry module, according to the instructions therein.

Applications will be accepted through January 5th, 2019. The jury process will take place between January 8th & 16th (however, some notices of early acceptance may be issued).  Final Notification of application status will be sent out by email by January 17th, 2019.

Exhibition Fees are due by February 21st, 2019 (Failure to pay fees by that date may result in forfeiture of acceptance).

IV. Exhibition Standards
1) Individual display areas are 10’x10’ (with 3’ of storage at rear and 2’ in between each space). No extensions may exceed the parameters of the allocated space by more than 2’, and must be removed if found objectionable by the promoter.

2) Show Guidelines shall be observed by participating artists, as follows:
a. Artists accepted for Art in The Loop may not participate in any other show or sale in Shelby, Tipton, or Fayette Counties in TN, or DeSoto County, MS, or Crittenden County, AR, during the run of the show, or during the week preceding the festival (this includes, but is not limited to, private house shows).
b. Displays: all display fixtures are the responsibility of the artist. Display fixtures should be commensurate to the overall standards of the show. This is not a flea market; it is an exhibition of fine-craft and paintings, and should be treated with elegance and style: make your display as attractive as possible (ArtWorks Foundation reserves the right to demand the removal of any substandard display materials).
e. Each artist should display a sign identifying themselves, as well as any business name, & their medium; you will also receive a sign from the show identifying your name and city of residence.
f. Electricity must be battery powered; batteries will be available for rent through ArtWorks Foundation for an added fee of $60.
g. No sound-amplification of any type will be permitted.                                                                                            h. Mark-Downs & Sales - NO price reductions will be permitted during the run of the show; no show one-day specials; no “sales.” The show is intended to be perceived as an exhibition of fine craft, NOT as a bargain-basement!
i. Re-Stocking -  artists are required to make sure a full supply of merchandise is always on hand through the last minutes of the show, and are responsible for restocking their own displays.
j. Any packaging is the responsibility of the artist.
 
V. Images - Please note that in addition to providing a means to assess your work, any photos submitted may be used by ArtWorks Foundation to promote the show (posters, postcards, etc.)

VI. Promotion
Public attendance also be encouraged and supported by our media sponsors WKNO FM & TV (NPR & PBS) and Memphis Magazine. Direct mail  (10K+ mailing list) & outdoor advertising, as well social media outlets, will also be employed. There will be vigorous Public Relations support for the show, as well. 

There is free parking available for trailers & RV's (no hook-ups, though). This parking area is on a quiet street, adjacent to the festival.

Rules/Regulations
Images – any photographs submitted may (upon our acceptance of the artist) be used to promote the show (posters, postcards, etc.). 
 
Fees/Deadlines
Application: $20 due upon submission (accepted through January 5th, 2019)

Booth Fees: $300. All Fees must be paid by February 21st, 2019.
All booths are corners (Double booth = booth fee x2).  
 
Exhibiting artists must be 18 years or older and must be present during show hours. Assistants are welcome, but agents or representatives of the artist do not replace the requirement of the artist to be present during show hours. Any artist leaving prior to the end of the show will be unable to exhibit in any ArtWorks Foundation show for at least two (2) years. Booth sitters will be provided as demand permits.
 
Work made from commercial molds, kits, patterns or copyrighted designs not owned by the craftsperson are not permitted. Any commercially made embellishments must be subordinate to the handcrafted work. All work must be for sale. No reproductions may be displayed (except as follows: 2-D artists, may offer reproductions of their work {if no more than 20% of their inventory!}; T-Shirts, or note cards/calendars, embellished with reproductions of the work of 3-D artists {if no more than 10% of inventory!}, will be permitted as well). No (other) embellished manufactured articles are acceptable; nor may items such as antiques and collectibles be offered for sale. Violation of these directives will result in immediate expulsion from the show. Items for the Fine Craft section should be individually and authentically handcrafted.  All designs should be original.  All fine craft categories as well as two-dimensional artwork, including paintings, photographs, and drawings are accepted.  Of the 2D work displayed, 75% of the work displayed must be original; 25% may be mechanical reproductions (i.e., mechanical prints).  Commercially manufactured items are prohibited.  No imports, products made from kits, non-original patterns or molds are acceptable.  No commercial resale or wholesale is allowed.  Jurors will circulate during the show to ensure that all work is in compliance.  We reserve the right to request the removal of items which are not submitted for the jury process.   
Violation of these directives will result in immediate expulsion from the show. The discovery of any merchandise violating this rule will result in the immediate removal of ALL merchandise from the offending display. No fees will be refunded.
 
Sales
The exhibitor must handle all sales and all proceeds go to the artists. Artists are required by law to pay taxes. The Memphis, Tennessee, sales tax is 9.25%. Representatives from the Tennessee Department of Revenue may be on site to check for valid tax identification numbers (we will provide tax forms, and instruction on filing “one time only” returns for any artists who do not have a Tennessee Tax ID number).
 
Security
24-hour security is provided throughout the event.  Private (armed) security guards will be on duty at all times from set up to teardown; however, all exhibitors will display their work at their own risk. It is understood that neither Art in The Loop, nor ArtWorks Foundation, nor our sponsors, shall carry insurance to cover personal property of any exhibitor. Exhibitors are considered to be independent contractors, and it is suggested that exhibitors obtain their own insurance.
 
 

Booth Information

Artists selected for the show will be assigned vehicle access times during set up on Friday, April 5th;   artists will off-load immediately and return to install their displays. (The show opens to the public at 1:00pm, Friday.) All tents must be suitable weighted: at least 50 pounds per corner, suspended from the top of the tent: not sitting on the base). Tents will be on pavement, but may be staked into grass at the rear.

Each artist should display a sign identifying themselves, as well as any business name, & their medium; you will also receive a sign from the show identifying your name and city of residence.

Electricity must be battery powered.

No sound-amplification of any type will be permitted. 

Move-out will begin at 4:05pm, Sunday April 8th.  NO exhibitors may begin packing before that time.
